Chapter 2 — Recording a sale
In this chapter: adding a product to the basket (by search, barcode or scale), working with basket rows, discounts, and linking a customer to the sale. Payment comes in Chapter 3.
2-1. Finding and adding a product
From the catalogue
- Tap a category to see its products, or choose "All products".
- Tap a product card to add it to the basket. The card shows the price and the in stock / out of stock status.
- To see more detail (specifications, photos, stock), open the product.
By search
- In the search box, type part of the product name or product code (SKU) and choose from the results.
With a barcode scanner
- Simply scan the barcode — the product is added straight to the basket. You don't need to be on a particular part of the screen; the app listens for scans on every page.
- Audio feedback: only a failed scan (or a gift-card error) produces a beep; a successful scan is silent and is confirmed by a visual cue (the product being added / a message). So hearing a beep means something wasn't read correctly. (Sound is enabled after the first touch/keypress in the session.)
- If a barcode isn't recognised, find the product by search and later ask your manager to register the barcode (Chapter 8).
- Gift card with a QR code: scanning a gift card's QR code during checkout applies the card to the basket and, if needed, asks whether the card's owner should be recorded/replaced as the basket's customer.
💡 Because the scanner works based on typing speed, if you type very fast in a field the app may treat it as a "scan"; this is normal.
A variant product (size/colour)
If a product has several variants (for example size or colour), a window opens before it's added in which you must choose the desired options.
A weighed product with a scale (Waage)
For products sold by weight:
- Choose the product; the weight window opens.
- Place the item on the scale and tap "Use the scale" (Waage verwenden).
- Wait for the status to go from "reading…" to "stable" (Stable); the weight is recorded automatically. If needed, tap "Read again".
- If the scale isn't available, tap "Manual entry" and type the weight.
Container deposit (Pfand)
For deposit-bearing products (such as a drink with a returnable bottle), the app asks "Add the deposit as well?" when it's added. Confirm so the deposit amount sits separately in the basket. Returning a deposit is explained in section 2-5.
Complementary product suggestion
Sometimes, after you add a product, the app suggests complementary products (for example batteries for a toy). You can add them with a single tap or skip them.
A product outside the catalogue (Kundenspezifisches Produkt)
If you're selling something that isn't in the catalogue:
- Tap the "Custom product" option.
- Enter the name, price, quantity and tax class.
- Add it — it sits in the basket like any other item.
💡 Use this feature for exceptional cases; a frequently sold item is better registered in the catalogue by your manager so the reports stay accurate too.
2-2. Working with basket rows
On each basket row you can:
- Increase and decrease the quantity.
- Set a manual price (Individueller Preis) — this changes the price of this row for this sale only.
- Apply a row discount: tap "Add product discount" and enter a percentage (Prozent) or an amount. You can also edit it in the same place later.
- Add or return a deposit.
- Remove the row.
2-3. Basket totals and an overall discount
At the bottom of the basket you see these totals: subtotal (Zwischensumme), tax (Steuer), discount (Rabatt), deposit (Pfand), shipping cost (Versand), tip (Trinkgeld), amount paid, due (Fällig) — and, if negative, refund (Rückzahlung) — and the grand total.
- Discount on the whole basket: from the totals section, apply a percentage or amount discount — it applies to the whole invoice.
- Discount code (Gutschein): enter the code to apply it; remove it whenever you like.
- Gift card (Geschenkkarte): enter the card code to deduct from its balance. If the card belongs to a particular customer and a different customer is on the basket, the app asks whether to change the basket's customer.
- Shop credit (Shop-Guthaben): if the customer on the basket has credit, their balance is shown and you can spend it on this purchase.
- Shipping method: if the order is to be shipped, choose the shipping method and enter the delivery address.
2-4. A customer on the sale (Kunde)
A sale without a customer (a "guest") is perfectly normal, but linking a customer has these benefits: purchase history, shop credit, a personal gift card and an email receipt.
- Linking an existing customer: open the customer section and search by name/email/phone.
- Creating a new customer: fill in the short form (name, email, phone, and a tax number if needed). If the email or phone is a duplicate, the app shows similar existing customers so no duplicate record is created — in that case, instead of creating one, choose the existing customer.
- If needed, add the shipping/billing address there too.
2-5. A few other frequently used actions
- Basket note: write a short message on the basket (for example "no onions" or a delivery note).
- Assigning a salesperson/waiter (Personal): specify which colleague made this sale — useful for reports and tips.
- Returning a deposit (Pfand zurückgeben): when the customer returns an empty container, tap this button and record the quantity; the deposit amount is deducted from the customer's account on this same invoice (or returned in cash).
- Opening the cash drawer (Kassenlade öffnen): opens the drawer without recording a sale (for example to make change). This is logged in the records.
- Emptying the whole basket (Warenkorb löschen): clears the entire basket. The app asks for confirmation because it cannot be undone.
