Chapter 9 — Accounting (Buchhaltung)

In this chapter: internal bookkeeping — recording income and expenses, automatic sales documents, bank reconciliation, the Austrian tax return (UVA) and exports for the accountant.

9-1. To begin: Setup (Einrichtung)

The first time, complete the setup wizard — it shows the status of each section step by step and tells you what is still outstanding. Until setup is complete, some reports cannot be relied upon.

The Overview (Übersicht) always gives a summary of the health and readiness of your accounting — if anything is red, follow it up from there.

9-2. Daily documents (Belege)

  • Income (Einnahme): record income from outside point-of-sale/website sales (sales get their own documents automatically).
  • Expenses (Ausgaben): record expenses (rent, bills, sundry purchases) with amount, date and category.
  • Categories (Kategorien): define income/expense categories so the reports are meaningful.

9-3. Journals (Journale)

  • All accounting documents — automatic (from sales) and manual — are recorded here.
  • Create a manual document, view a document and its attached supporting documents.
  • The general ledger explorer (Hauptbuch-Explorer) in the configuration section shows all movements of each account.

9-4. Bank

  1. Bank accounts (Bankkonten): define the business's bank accounts.
  2. Statement import (Bankimporte): import the bank statement file so the transactions come into the system.
  3. Reconciliation (Bankabstimmung): match each bank transaction to its corresponding document. The goal: leave no unmatched transaction.

9-5. Controls (Kontrollen)

  • Financial year and periods: define the financial year and close periods; a closed period can no longer be changed.
  • Review (Prüfung): a queue of items that need to be checked.
  • Approval process (Freigaben): the workflow for approving documents before they become final.
  • Audit (Audit): a complete trail of changes for accountability.

9-6. Tax and reports

  • UVA return (Umsatzsteuer-Voranmeldung): the Austrian advance value-added tax report — choose the period, and the figures are gathered automatically from sales and documents.
  • Operational reports (Detailauswertungen): detailed accounting reports.
  • The monthly close and financial statement reports are in the "Reports" section (Chapter 11).

9-7. Exports (Exporte)

  • Generate and download accounting export packages — exactly what you hand over to your accountant or tax adviser.

9-8. Configuration (Konfiguration)

  • Chart of accounts (Kontenplan): the list of bookkeeping accounts.
  • Compliance settings (Compliance): the legal accounting settings.
⚠️ Make the settings in this chapter in coordination with your accountant/tax adviser. Suggested monthly routine: import the bank statement → reconcile → record outstanding expenses → review the UVA → export for the accountant.
