Chapter 4 — Reservations (Reservierung)

In this chapter: fully managing reservations — the calendar, guest reception, checking documents, live floor operations, and configuring bookable resources. This section is specifically for restaurants and service businesses.

4-1. Calendar (Kalender)

The main hub for reservations:

  • A daily/schedule view with date navigation and filters.
  • Create a reservation: click an empty slot; enter the guest, number of people, resource (table/room), time and duration.
  • Delete a reservation with confirmation.

Reservation details panel

Selecting a reservation opens a panel with the following tabs:

  • General: status, time, resource (the panel opens on this tab).
  • Customer and guests: the guests' details and address; identity document fields.
  • Documents: attach and view the guests' files.
  • Items: the reservation's ancillary services/products.
  • Orders: the order/basket linked to the reservation.
  • Tasks: create and edit tasks related to this reservation for staff.
  • Notifications: send a message to the guest or an internal notice.
  • History: every change made to the reservation.

4-2. Operations (Vorgänge) — checking documents

The control desk for documents guests have uploaded:

  • Document review inbox: for each document, click Approve, "Seen" or "Needs re-upload".
  • Deadline tracking: documents whose re-upload deadline has passed are shown separately.
  • Assigned task queue: create a task, "assign to me", approve/complete, send a follow-up to the guest.
  • Live notifications and configurable automatic page refresh.

4-3. Reception (Rezeption)

The daily arrivals and departures board:

  • For each reservation: Confirm, Check-in, Check-out, Complete and No-show for a guest who did not turn up.
  • The document review and task queue are available right there.
  • A shortcut to the alerts and calendar; live updates.

4-4. Live floor (Live-Floor)

The floor's real-time status:

  • Resolve or mute the floor alerts.
  • Check guests in/out and start/complete a task from this page.
  • "Sync now" for a manual refresh.

4-5. Alerts and document review (standalone pages)

  • Alerts (Warnungen): all reservation alerts in a single list.
  • Document review (Dokumentprüfungen): a dedicated queue for approving/rejecting documents.

4-6. Sync channels and Runtime

  • Channels: connect to external reservation systems so their reservations also appear here.
  • Runtime: the reservation engine's health page — if reservations are not updating, look here first.

4-7. Reservation configuration (Admin)

The foundations of the reservation system, usually set once during setup:

  1. Resources (Ressourcen): anything bookable — table, room, chair. With a capacity.
  2. Resource groups: categorising resources (for example "Terrace", "Hall").
  3. Events (Ereignisse) and event groups: the type of bookable services (dinner, meeting, tour, etc.).
  4. Task types and tasks: the jobs staff do for reservations (setting a table, making a reminder call, etc.).
  5. Blocked times (Sperrzeiten): days/hours when no reservation can be taken (closures, private functions).
  6. Maintenance (Wartung): a resource being temporarily out of service.
  7. Automation (Auslöser): automatic rules — a reminder before the reservation, a follow-up afterwards, a document request and so on.
💡 Setup order: resources → groups → events → blocked times → automation. After this, the calendar and the site's online booking are ready to work.
